O3Spaces Workplace 3.2: enabling a new breed of document solutions

O3Spaces is pleased to present Workplace 3.2, the latest release of its successful document management and collaboration product. Besides the new functionality, Workplace 3.2 focuses on connectivity, extendability, document processing and workflow.

O3Spaces Workplace 3.2 incorporates extensions of existing features such as Template-management for Microsoft Office and new Rules logic to provide for example automated document conversion. Workplace 3.2 now supports the CMIS interoperability standard, again extending its standards based connectivity. A prominent new end user feature is the Document preview functionalityin the 'Spaces' web browser environment. A broad range of document types can now be viewed and navigated without the need to download.

The latest enhancements and novelties are in tune with the customer feedback O3Spaces has received. One such customer is the particle physics research institute (IFIC) of the University of Valencia, Spain. IFIC uses O3Spaces Workplace as their central document repository tasked with document management and collaboration support. Carlos Lacasta, working at IFIC elaborates: “We use O3Spaces as a tool to centralize the documentation of the different projects we are working on. This includes the design and specification documents, reports on the progress and the results, meeting minutes and project planning. Most of those documents are prepared in a collaborative way and having a tool to store the various versions of the documents is very helpful. Also, the possibility to comment the documents, open discussions and e-mail archiving is an added value.”

In preparation of the official O3Spaces Workplace 3.0 release, O3Spaces has been running a 3.0 beta program. In this program selected customers and domain experts participated in order to put the revamped web browser UI and new 3.0 features through their paces. In summary, the completely overhauled web interface and new additions were warmly greeted.

According to the beta program participants, one of the most striking positive improvements is the overhauled web interface. As one O3Spaces customer puts it: “We were positively amazed by the changes made to the graphic user interface. It has improved dramatically. 3.0 looks like a totally new application without loosing its familiarity.”

Next to an improved UI, Workplace 3.0's feature set has once again been significantly extended with the addition of labeling functionality, integrated Wiki, custom Spacelets, and rule based document processing and workflow. In the words of an early adopter: “3.0 delivers the new features we were looking for. The new labeling functionality makes categorization and retrieval of documents a real breeze. We've already moved 3.0b into production. We can't wait for the final release!”

The municipality of GrooteGast (NL) switches to OpenOffice.org and transforms OpenOffice.org into an enterprise application with O3Spaces Workplace.By implementing O3spaces workplace, including the integrated template management extension, the municipality of Grootegast can now benefit from document management, collaboration, template management as an integrated part of their OpenOffice.org based daily work environment.

The problem the municipality of Grootegast encountered in their office environment was the lack of integrated enterprise features, such as integrated template management, document management, collaboration and versioning. A very important criteria in searching for a solution covering this functionality was the tight integration in their office productivity environment OpenOffice.org.

By migrating from Microsoft Office to OpenOffice.org the municipality of Grootegast had to take their document management and productivity environment to a higher level, so that the migration would not be perceived as a mere replacement but as a genuine improvement. The addition of O3Spaces Workplace and its template management did the trick. As a result the OpenOffice.org user doesn’t need to leave the OpenOffice.org application or start another application. O3Spaces is pleased to announce the immediate availability of O3Spaces Workplace 2.4.0. the first version of its Document Management & Collaboration suite to include e-mail integration.

“A midst worldwide economic turmoil the last quarter of 2008 has been the most successful quarter since the launch of O3Spaces Workplace in 2006, both in terms of our customer base expanding and the average deployment size increasing." said Rob Mentink, O3Spaces CEO. O3Spaces Workplace 2.4.0 is the first O3Spaces product release to incorporate e-mail integration. This new functionality extends the O3Spaces Workplace feature set with the possibility to archive e-mails in your Workspace of choice directly from your e-mail client. Archived e-mails (and attachments) are full-text searchable and can be viewed in the Workplace browser environment as well. The email client integration also lets you to attach files directly from the Workplace repository to your e-mail messages.

Other novelties and enhancements introduced in 2.4.0 further extend the Workplace Assistant, the user friendly desktop client, which now supports copying, pasting and moving files and folders in the repository on top of its drag & drop upload capabilities. Mac OS support
O3Spaces Workplace 2.3.0 is the first release to incorporate support for Mac OS X. The incorporation of Mac OS X support (server & client) further extends the true cross platform nature of O3Spaces Workplace as Sharepoint alternative. Workplace 2.3.0 supports the Safari web browser and will offer a plug-in for OpenOffice.org 3.0 as soon as it is officially released for the Mac.

Repository search in the Workplace Assistant
The Workplace Assistant, the optional desktop client, now sports 'repository search' functions. Searching for files, file versions, comments, and descriptions is now possible directly from your desktop. Convenient multiple file download is another addition made to the Workplace Assistant. All of these functions work in unison with the repository file browser in order to make finding, retrieving and sharing your documents even easier.

New application embedder
O3Spaces Workplace 2.3.0 incorporates an application embedder that enables the integration of external web applications, wikis and websites in the Workplace environment. With this new feature O3Spaces customers can leverage their web applications integrated in the user-friendly Workplace environment to realize a fitting solution.

Workspace-, folder and file-links
A modest, but very usable novelty in 2.3.0 are workspace-, folder- and file-links that are available in the Workplace browser environment, as well as in notification messages. These convenient URLs facilitate easy communication and notification regarding workspaces, files and folders, giving users single click direct access to relevant information.

SURFnet recently conducted a Technology Scouting of the O3Spaces Workplace collaboration suite. The focus of this in depth product evaluation was on two main questions, namely:

  1. Is the O3Spaces Workplace software useful for the support of project groups and collaboration in an educational setting?
  2. How does O3Spaces score compared to the application that is already used by SURFnet for collaboration, MS Sharepoint?
As part of the technology scouting O3Spaces Workplace was evaluated by testing different scenario's that are characteristic for an educational setting. The results underline a principal O3Spaces Workplace value: easy of use. The SURFnet researchers found that very little end user training is required in order to orchestrate effective collaboration within project groups. According to the researchers, this can in part be attributed to O3Spaces' focus to concentrate on the primary collaboration functionalities as the basis for the Workplace product.

Strong advantages of O3Spaces Workplace, as highlighted in the report, are the support of mixed environments (MS Office AND OpenOffice.org/StarOffice; Firefox AND IE; Linux, Windows, Solaris AND MAC OS X), the desktop integration through the Workplace Assistant and the general ease of use.

Furthermore, O3Spaces Workplace was found to be a scalable product, well suited to support the different kinds of projects found in an educational setting. In big projects (with thousands of users) and smaller projects (such as collaboration within a single faculty) alike, O3Spaces Workplace proved to be well suited.

The survey concluded that, where Sharepoint is more of an 'anything for anybody' product, O3Spaces Workplace has a narrower focus on best of breed document management and collaboration functionality, resulting in a much more convenient and efficient delivery of functionality.
